Seven Signs Your Business Has Outgrown Its IT Support

The setup that worked at eight staff quietly stops working at thirty. Here are the warning signs that your IT support is now holding the business back.

Seven Signs Your Business Has Outgrown Its IT Support

The IT arrangement that served you well at eight people rarely survives the jump to thirty. It does not fail loudly. It just gets slower, more expensive and less able to answer the questions you are now asking.

Why this matters to the bottom line

Growing businesses lose money to IT in three quiet ways: staff time waiting on fixes, projects delayed because nobody can plan them, and risk that nobody is actively managing. None of it appears as a line on an invoice, which is exactly why it goes unnoticed until something breaks badly.

    The seven signs

    1. You only hear from your provider when something is broken. Reactive support is a break fix relationship with a monthly invoice attached. If there is no monitoring, no patch reporting and no scheduled review, you are paying a retainer for a phone number. Ask when your last written IT report was.

    2. Nobody can tell you what you own. Ask for a current list of devices, licences, warranties and cloud subscriptions. If it takes days, or arrives as a guess, nobody is managing your estate. You are almost certainly paying for licences for people who left.

    3. Every request goes to the same one person. One engineer who knows your setup is a strength until they go on holiday, get ill or leave. Single point of failure in your support is as dangerous as single point of failure in your server room.

    4. Response times are a feeling, not a number. If you cannot state your target response time for a critical issue, you do not have one. Look for a written service level with priority levels and actual performance reported back to you.

    5. Invoices surprise you. Ad hoc hourly billing punishes you for asking for help, so your team stops asking and works around problems instead. Fixed monthly pricing changes that behaviour overnight.

    6. Nobody is planning past next week. At thirty plus staff you need a rolling refresh plan for hardware, a licensing strategy, and a view on where your data lives. If nobody brings a plan to you quarterly, you are steering blind.

    7. Security is assumed rather than evidenced. Backups that nobody has test restored, MFA that is only on for some staff, and antivirus that nobody is watching are all common. Ask for evidence of your last successful restore test. The answer is revealing.

What good looks like at 10 to 100 users

    • Proactive monitoring on every device and server, with alerts handled before staff notice
    • Patching managed and reported to a defined deadline
    • Documented, tested backups with a stated recovery point and recovery time
    • A named account contact and a quarterly review with a written roadmap and budget
    • Fixed monthly cost per user so growth is predictable

    The Orange Penguin take

Most of the businesses that come to us are not in crisis. They have simply outgrown an arrangement that was right at the time. The fix is rarely dramatic: put monitoring on, get the estate documented, tighten security, then start planning twelve months ahead instead of reacting to Tuesday.

We have supported Scottish businesses through exactly this transition since 2007, and it usually costs less than firms expect, because a lot of the spend is already being wasted on unused licences and emergency hourly work.
